Privacy Policy

This policy explains what data Smart Path collects, why we collect it, who we share it with, and what rights you have over it. It covers both our website and the Smart Path application.

1. What we collect

We collect three categories of information.

Information you give us

  • Account and contact details: your name, email address, phone number, venue or business name, and role.
  • Enquiry details: anything you tell us when you request a demo or contact us, including your venue type and event volume.
  • Billing details: the information needed to process your subscription. Card details are handled by our payment provider and are not stored on our systems.

Information you enter into the application

  • Event data: bookings, dates, spaces, timings, guest counts, menu selections and event notes.
  • Your clients’ details: names and contact information for the people booking events with you. You are the controller of this data; we process it on your behalf to provide the service.
  • Payment status records: what has been quoted, paid and remains outstanding against each booking. These are records you enter, not payment transactions we process.

Information collected automatically

  • Usage and device data: pages visited, approximate location derived from IP address, browser and device type, and referring site.
  • Cookies and similar technologies: used for authentication, preferences and analytics. See section 4.

2. How we use it

  • To provide and operate the service, including your bookings and calendar.
  • To send the automated event notifications and reminders you configure, on your behalf, to the recipients you specify.
  • To detect scheduling conflicts and generate the alerts the service provides.
  • To respond to demo requests, support questions and other enquiries.
  • To process subscription payments and send billing communications.
  • To understand how the website and application are used so we can improve them.
  • To meet legal, accounting and security obligations.

We do not sell your personal information, and we do not sell or distribute your business or client data.

3. Analytics and advertising technologies

Our website uses third-party analytics and advertising tools. These set cookies and receive information about your visit, including pages viewed and device characteristics. Specifically:

  • Google Analytics (provided by Google), which we use to understand how visitors find and use the site.
  • Meta Pixel (provided by Meta), which we use to measure the effectiveness of our advertising and to reach people who have shown interest in Smart Path.

These providers process data under their own privacy policies. Depending on where you live, the use of advertising technologies may be treated as “sharing” or “selling” personal information for targeted advertising purposes under laws such as the California Consumer Privacy Act. You can opt out using your browser’s privacy controls, an advertising opt-out tool, or by contacting us at support@smartpath.click.

These tools run on our marketing website. They are not used to profile the event or client data you enter into the application.

4. Who we share data with

We share data only in these circumstances:

  • Service providers who help us operate: hosting, email delivery, form handling, payment processing and analytics. They may process data only on our instructions and for the purposes we specify.
  • Recipients you designate, such as the clients and staff who receive the automated notifications you configure.
  • Legal authorities, where we are required to disclose information by law or valid legal process.
  • A successor entity, if Smart Path is involved in a merger, acquisition or sale of assets. We would notify you before your data became subject to a different policy.

5. Security

We take reasonable technical and organisational measures to protect your data, including encrypted connections, access controls limiting who can view account data, and restricting staff access to what is needed to support you.

No internet service can be guaranteed completely secure. If we become aware of a breach affecting your personal data, we will notify you as required by applicable law.

6. How long we keep data

We keep your account and event data for as long as your account is active. After cancellation we retain it for a limited period so you can reactivate or request an export, then delete or anonymise it, except where we must retain records for legal, tax or accounting purposes.

You can export your event data to PDF and Excel at any time while your account is active, and we recommend doing so before you cancel.

7. Your rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or incomplete.
  • Request deletion of your account and associated personal data.
  • Obtain a copy of your data in a portable format.
  • Opt out of marketing communications, which you can also do using the unsubscribe link in any marketing email.
  • Opt out of the sharing of your personal information for targeted advertising.
  • Not be discriminated against for exercising any of these rights.

To exercise any of these, email support@smartpath.click. We will respond within the period required by applicable law. We may need to verify your identity before acting on a request.

8. Data about your clients

When you enter your clients’ details into Smart Path, you remain responsible for that information. You are the controller and we are the processor: we handle it on your instructions to provide the service. You are responsible for having a lawful basis to collect and store it and for telling your clients how their information is used.

If one of your clients contacts us directly about their data, we will refer them to you unless we are legally required to act.

9. Children

Smart Path is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe we have, contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last revised. Where changes are material we will notify account holders by email or through the application.
